Privacy Policy
Last updated: September 29, 2026
Vanilla helps people connect with the people in their lives. This Privacy Policy explains what information we collect, why we use it, when we share it, and the choices you have.
Information We Collect
When you use Vanilla, we may collect:
- Account information, such as your name, email address, and phone number.
- Usage and device information, such as your IP address, device type, operating system, app activity, and diagnostic information.
- Location information, if you give Vanilla permission to access it.
- Contacts, if you give Vanilla permission to access your device’s contacts.
- Content you create, such as the plans you make — their titles, descriptions, times, locations, and any notes you add.
You can change Vanilla’s access to location and contacts through your device settings.
How We Use Your Information
We use your information to:
- Provide, operate, and improve Vanilla.
- Create and manage your account.
- Enable Vanilla’s features and interactions with other users.
- Communicate with you about your account, the service, support requests, and security.
- Understand how people use Vanilla and improve the product.
- Protect Vanilla and our users from fraud, abuse, and security threats.
- Comply with legal obligations.
We may also use information for marketing where permitted by law. You can opt out of marketing communications at any time.
When We Share Information
We may share information:
- With service providers that help us operate Vanilla, such as hosting, analytics, communications, and other infrastructure providers.
- With Anthropic, when you describe a plan in your own words and ask Vanilla to fill in the details for you. We send that text, your first name, and the names of your saved locations to Anthropic’s API so it can read the plan back out. Anthropic processes this on our behalf and does not use it to train its models.
- With other users when you choose to share information or interact with them through Vanilla.
- As part of a business transaction, such as a merger, acquisition, financing, or sale of the company.
- When required by law or when reasonably necessary to protect Vanilla, our users, or others.
- With your consent or at your direction.
We do not sell your personal information or share it for cross-context behavioral advertising.
Deleting your account
Here’s what happens when you delete your account:
- We remove all your personal information from our databases and notify our partners to do the same. This includes things like your name, your phone number, your email address, any saved locations, etc.
- We keep your past activities but they’re no longer connected to your name. This way, deleting an account doesn’t suddenly mean your friends on vanilla have gaps in their history.
- We cancel all your future activities
- For our learning, we retain an understanding of who your old user account was friends with, but it is an anonymized account, not tied to you
Please log in to delete your account (navigate to you › delete account is under log out). If you’re having trouble logging into your account or have questions, email us at hello@vanillawith.me.
How Long We Keep Information
We keep personal information only as long as reasonably necessary to provide Vanilla, comply with legal obligations, maintain security, resolve disputes, and enforce our agreements.
Account, support, and usage information may generally be retained for up to 24 months after it is no longer actively needed. Some information may be retained longer where required by law, necessary for security or legal claims, or temporarily present in backups.
We may retain anonymous or aggregated information that can no longer reasonably identify you.
Your Choices and Rights
You may be able to access, update, or delete information through Vanilla. You can also contact us at hello@vanillawith.me to request access to, correction of, or deletion of your personal information.
Depending on where you live, you may have additional privacy rights, including rights to know what information we collect, correct or delete it, or obtain a copy of it.
California Residents
California residents may have additional rights under the CCPA/CPRA, including rights to access, correct, or delete personal information and to receive information about how it is collected, used, and disclosed.
Vanilla does not sell personal information or share it for cross-context behavioral advertising. We use sensitive personal information only as necessary to provide and secure the service and do not use it to infer characteristics about you.
To exercise your California privacy rights, contact hello@vanillawith.me. We may need to verify your identity before completing certain requests. We will not discriminate against you for exercising your privacy rights.
Children
Vanilla is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to remove it.
Security and International Transfers
We use commercially reasonable measures to protect your information, but no online service can guarantee absolute security.
Your information may be processed in locations outside your state or country. Where required by law, we use appropriate safeguards for international transfers.
Changes to This Policy
We may update this Privacy Policy as Vanilla changes. If we make material changes, we will provide notice as appropriate and update the date at the top of this policy.
